After running a period end, it is necessary to update the stock posting periods found in the Stock area of Supply Chain. If this has not been done then transactions may continue to post to the year and period from before the period end was run. Before following the steps below please ensure that the Stock Posting Periods are set correctly to avoid future instances of the problem.
Additionally, it is important to ensure that the users posting transactions have the permission to post to the required period. Future Period Posting permissions are set in the Security Profile for affected users.
Please also note that the suggestions below relate only to the Debtors, Creditors or Financials ledgers and if the item has been processed via the Manufacturing Orders area then advice should be sought from that support team.
Tip: Use the Transaction Enquiry Screen for the affected ledger to identify the incorrect items based on period and date criteria. These can be exported to Excel for reference.
Debtors or Creditors Ledger:
Raise a negative value transaction of the same type (eg Invoice) in the incorrect period, using identical analysis codes for each line that needs correction. This will zero the values from the unwanted period.
Allocate the correcting transaction to the unwanted original.
Raise a positive value transaction as above into the required period to post it to the required period.
Financials Ledger:
Nominal Journals:
Enter an exact opposite of the unwanted item in the incorrect period, mirroring the debits and credits for each line based on the nominal accounts they updated. This will zero the values from the erroneous period.
Enter a journal using the original debits and credits to repost it to the correct period to recreate it correctly.
Vat Journals:
Enter a negative value vat journal of the same type (ie Debit Vat Journal or Credit Vat Journal) using the same nominal accounts as for the original in the unwanted period.
Repost a positive value Vat Journal of the same type into the required period to replace the item reversed above.
