You can use the Report Administrator to make simple changes to your Ledger reports and documents, such as adding a logo, changing text, or amending the sort order. Reports are exported, edited in Crystal Reports, and then re-imported under a new name.
⚠️Important: If extra fields are required on a report, please contact your Customer Service Manager or Account Manager rather than attempting to add them yourself.
Before you start
There are a couple of things worth knowing before making changes to your reports.
Check your system data first
Some information displayed on reports — such as your company address — is pulled directly from the system via System, Company Record. Before editing a report, it is worth checking whether updating that data gives you the result you need.
Understand the two report types
Reports in the Report Administrator are split into two types:
Reports — items printed for internal use, such as Aged Debtors reports.
Documents — items usually sent to customers or suppliers, such as Sales Statements.
Where the Report Administrator is installed
The Report Administrator is usually installed on a server alongside the parent copy of Supply Chain. You will need access to this server to export and re-import reports.
Export the report or document
To make changes, you first need to export the report from the Report Administrator.
Confirm the name of the report within Supply Chain, then log in to the Report Administrator.
Go to either the Report Management List or Document Management List using the buttons in the Administration area.
Locate the report to be modified, using the available filters to assist if required.
Select the item. If it is marked as Locked, click Duplicate Document to create a copy — locked reports cannot be exported. Refresh the search after duplicating.
Click Export Document and select an appropriate location to save the file.
Click Configure Document and make a note of the following settings for use when re-importing:
Document Key.
Type.
View Name.
Search Type.
Any options on the other tabs.
📌Note: Recording the original configuration before making changes makes the re-import process much simpler and helps avoid configuration errors.
Edit the report
Once exported, open the report file in Crystal Reports and make your required changes — for example, adding a logo, updating text, or changing the sort order. Save the file with a new name before re-importing.
Import the amended report or document
Once your changes are saved, re-import the report into the Report Administrator.
In the relevant Management List tab, click New Document or New Report.
Browse to the amended and renamed report file and select it.
Enter the Document Key, Type, View Name, and Search Type using the details you recorded during export.
Enter an obvious name in the Description field so the report is easy to identify.
Click OK to import the report.
Make the report available in Supply Chain
After importing, you will need to make the report or document available to users within Supply Chain.
For Reports: make the report available to the appropriate Security Profiles.
For Documents: set the document as active via System, Application Configuration, Documents.
